CAMP POLICIES/PROCEDURES:
REGISTRATION: You may register online at www.afyp.org, or you are welcome to complete a hard-copy registration form for each camper. Mail to address on form.

HEALTH INSURANCE VERIFICATION: In order to comply with Mason’s safety regulations, health insurance information for each participant must be on file with AFYP, at the start of camp. Please bring a photocopy of each child’s insurance card to first day check-in. All personal information is securely disposed of at the end of the camp season.

METHOD OF PAYMENT: whether registering online or by mail, Camp fees may be paid by check or credit card (VISA, Mastercard, American Express and Discover accepted). If paying by credit card, forms may be faxed to 703-250-3222.

CONFIRMATION: you will receive an email confirmation upon receipt of your online registration, or when registration form(s) are received by mail. Please see our website after June 1, 2010 for additional information prior to the start of your camp session(s), including what to bring on the first day of camp and additional program and staff information, along with any updates to the logistical information included here. If you have sent in a registration form and have not received confirmation within ten business days, the form may not have arrived. Please call us to ensure your materials were received.

CLASS/GROUP SIZE: Campers are divided into age appropriate groups in each session (ages 5-6; 7-8; 9-10; 11-12; 13+) with further subdivisions as necessary. Group size is approximately 15 - 25, with adequate faculty coverage for larger groups to ensure that all students receive individual attention. In the unlikely event a camp session does not meet minimum enrollment it may be cancelled and you will be notified by email/telephone. We will make every effort to find camp placement for all students. Younger students admitted by permission of instructors.

DIRECTIONS/DROP OFF & PICK UP: Detailed directions and drop off/pick up information will be posted on our website after June 1. You are welcome to visit www.gmu.edu/cfa/directions for additional details. Students should plan to arrive by 8:45 a.m. each morning and may be dropped off as early as 8:30 a.m. Students MUST be picked up at 3:00 p.m. Parents will be assessed a late fee if students are picked up more than 15 minutes after a camp day ends. Before/after care are not available at this time.

LUNCH/SNACKS: Two breaks are scheduled each day. Please send one lunch and one snack and drinks for your child each day. As we often have several students with severe food allergies, we ask that snacks not be shared. Siblings’ snacks should be packed separately. AFYP does not provide food or drink.

CURRICULUM/ACTIVITIES: See “Sample Weekly Schedule”. Additional program specifics will be included in the information posted on our website after June 1. Please note that substitutions in programming/faculty may be made if necessary. At the end of each session, each age group presents their work for an audience. This is not a full production, but a sharing of skills learned , making for an exciting finish to the week for all of our students.

FINANCIAL AID: Payment plans will be considered, and a limited number of full and partial need-based scholarships are available for those who meet qualifications. Please call (703) 307-5332 to request an application. Applications must be received by June 1, 2010.

REFUNDS: Cancellations made prior to the registration deadline will be refunded less a $25 processing fee. Cancellations made after the start of a program will be refunded less $25 processing fee and the prorated amount of each camp day attended. All cancellations must be made in writing.

RETURNED CHECK FEE: Checks returned by bank subject to $25 fee.

WAITLIST: If preferred session is full, you are welcome to be included on a waitlist. We will keep you updated on your status on the list and notify you immediately if a space becomes available.

PHOTOGRAPHY: AFYP reserves the right to use photos taken in classes for promotional purposes only.

STUDENTS WITH DISABILITIES: AFYP strives to makes its programming available to everyone, including students with physical, developmental or cognitive disabilities. Please contact Mary at 703-307-5332 if you have questions and/or to determine that this is the right camp for your child(ren). If a student’s disability proves to be in any way beyond our staff’s capabilities, we may recommend that a student discontinue the camp program, and a pro-rated refund will be granted.

DISRUPTIVE BEHAVIOR: If a student displays disruptive behavior and is a hindrance to the progress of a class, that student and his/her parents will receive one warning. If behavior continues, student will be asked to leave camp permanently with no refund granted.
